1. Consultation

We will help you to define your audio visual needs based on your venue, event size, number of rooms, and other key details.

 

3. DELIVERY

We will ensure all equipment is delivered to the venue in a timely manor, and in line with any venue restrictions.

 

5. ON-SITE TECHNICIANS

Our team of experienced technicians will work on site to run each room, work with speakers and moderators to ensure they’re comfortable and their presentations go seamlessly, and trouble-shoot any last minute requests in order to deliver a smooth and stress-free experience to our clients.

4. SET-UP

Event equipment will be set up and tested prior to the event in alignment with the pre-planned room layouts

 

6. BREAKDOWN

Equipment will be broken down and removed from the venue on a timely basis once the event is complete. 

 

 

Process

For each event we follow a four stage process to familiarize ourselves with the needs of our client, and ensure we are capturing valuable feedback following each event . Our four stages include consultation, on-site planning, on-site management and post-event follow up which ensure we are prepared to run a flawless event..

 
 

Needs Assessment Consultation

  • An initial consultation will allow us to discuss event details, structure, and overall known AV needs to define an initial quote.

  • A Venue Analysis will provide us with context around full event needs, room layouts, and any additional considerations to inform a final proposal. The venue analysis will consider: 

    • Room Dimensions

    • Ceiling Heights

    • Room Obstructions 

    • Rigging Capability 

    • Room Restrictions 

    • Room Lighting (Artificial & Natural) 

    • Electricity Capabilities

  • Provide a final proposal based on initial consultation, and including all details and costs pertaining to your event AV needs.

    • Final Equipment Recommendations 

    • Final On-Site Tech Recommendations

Pre Event Planning & Logistics

We will provide an Event Requirements and Schedule prior to the event to ensure alignment on event details, timing, and logistics.

  • Collect Any Event Documents Available (Presentations, Agendas, etc)

On-Site

A final on site venue walk through will allow us to ensure that all planned layouts and details are still intact prior to AV setup. Any proposed changes, recommendations, or red flags will be noted and reported to our client immediately to align on a finalized plan. Equipment is set up and comprehensively tested prior to the event. Our seasoned event technicians will be onsite to operate all AV systems, consult with speakers and moderators to identify and prepare for their presentation's AV needs, and troubleshoot any last minute issues or requests.

 
 

Post Event

All sessions that have been recorded at client request will be distributed to the client and stored in our database at the conclusion of each event. We take pride in our long standing partnerships and we want our clients’ feedback. We hold a post-event consultation to discuss the event, what went well, and most importantly — what can be improved. We want to make sure you are satisfied with our service, and we turn feedback into action.
